Configure folder knowledge indexing

Under Knowledge index in Folder settings, you can decide how a folder's content is used in AI search. The settings are split into Indexing scope, AI search info, and Folder policy tabs.

Before you begin

  • Typically, only the folder's creator can change its settings. Administrators can also configure them according to their permissions.
  • A folder outside the administrator's knowledge-indexing roots is not indexed even if you change its folder settings. See Knowledge Indexing.

Open the knowledge index settings

  1. Select the settings icon next to the folder name.
  2. In Folder settings, select Knowledge index.
  3. Change the values in the relevant tab, then select Apply.

Set the indexing scope

In Indexing scope, enter extensions to exclude from the AI knowledge index. Separate entries such as pdf, xml with commas or press Enter to add them. The rule applies to this folder and its subfolders; a more specific rule on a child folder takes precedence.

Saving also removes already-indexed documents with those extensions from search. The transform output extension md cannot be excluded. For an Archive only folder, extension rules do not apply because the entire folder is excluded from AI search.

Add AI search information

In AI search info, enter Topics and keywords and, optionally, a Description. Separate topics and keywords with commas or Enter. In an Archive only folder, this information is retained but is not used for search.

Choose a folder policy

In Folder policy, choose one of these options:

Use for AI searchUse file contents in AI search and answers. Text recognition for scanned documents may take longer.
Archive onlyKeep files, but exclude them from AI search. Previously analyzed content also disappears from search results.

When you set a policy directly on the folder, you can optionally enter a Reason. For example, Keep backup files without using them for AI search helps others understand the decision later.
