Manufacturing Company Connected Order-Production Process with SetFN

Communication between sales and factory was disconnected, causing repeated delivery delays

Our company producing pneumatic cylinders, valves, and pressure gauges has a structure where the sales team receives customer orders and then issues production instructions to the factory.

The problem was that this process was completely separated.

The sales team managed order status with their own Excel files, and the factory created production plans with separate Excel files.

When sales asked "We have an urgent order, when is it possible?" the factory would repeatedly say they'd check the current production situation and call back.

The bigger problem was when order quantities or specifications changed.

If the sales team only modified their Excel and didn't inform the factory in time, the factory would continue production according to the existing plan and later need rework. When customer companies inquired "When will it ship?" we had to check back and forth between sales and factory, making it difficult to give accurate answers.

Made everything from orders to production one flow with SetFN

We introduced SetFN so sales teams and factories work looking at the same materials. When the sales team uploads customer order forms, factory staff immediately check and leave comments about possible production schedule and expected completion dates.

Each order shows stages like "Received → Production Waiting → In Production → Inspection Complete → Ready for Shipment" so the sales team can grasp progress in real-time. When customers inquire, we can immediately provide accurate status.

Especially technical materials like drawings and specifications are managed in the same folder, reducing confusion. When the sales team says "The customer requested a specification change" and uploads new drawings, the factory can immediately check and adjust production plans.

Monthly and weekly production plans are also displayed on shared calendars, allowing the sales team to offer realistic delivery dates when receiving new orders. We significantly reduced incidents of promising unreasonable schedules and then having to apologetically contact customers, and the factory also dramatically reduced overtime due to sudden schedule changes.

Now we can see "which products are needed by when and how many, and what stage they're currently at" all in one screen, making the entire company flow much smoother.
